Who we are

This website, 3rdwinscouts.org.uk, is run by 3rd Winchester (The Worthies) Scout Group, a registered charity 302253. We are a volunteer-led Scout Group and part of The Scout Association. For the purposes of UK data protection law, we are the data controller for the personal information collected through this website.

This notice explains what personal information we collect when you use our website, why we collect it, and your rights. It covers the website only. What information we collect

We only collect personal information that you choose to give us, plus limited technical information collected automatically when you visit the site.

Information you give us

If you enquire about your child joining the Group or register interest in our waiting list, we collect your name, contact details, your child's name and date of birth, and the section you are interested in.

If you enquire about volunteering, we collect your name, contact details and any information you choose to share about your interests or experience.

Information collected automatically

When you visit our website, our hosting provider Squarespace automatically collects some technical information, such as your IP address, browser type, device information, the pages you visit and how you arrived at our site. With your consent, we use Squarespace's built-in analytics to see this information in an aggregated form, for example how many people visited a page. We cannot use this to identify you personally. Why we use your information and our lawful basis

We use the information you give us to respond to your enquiry, to manage our waiting list and contact you when a place becomes available, to follow up volunteering enquiries, and to send you our newsletter if you have asked to receive it.

Under UK data protection law, we must have a lawful basis for using your information. We rely on our legitimate interests in running the Group and responding to people who contact us when we handle enquiries and waiting list requests. We rely on your consent for our newsletter and for analytics cookies, and you can withdraw that consent at any time.

We do not sell your information, and we do not use it for advertising.

Children's information

Our website is designed for parents, carers and adults. If you are enquiring on behalf of a child, we ask that a parent or carer submits the information. We only use a child's details to manage their place on our waiting list and their joining the Group.

Who we share your information with

Your information is only seen by the volunteers who need it to deal with your enquiry, such as the relevant section leader or our Group Lead Volunteer.

Our website is hosted by Squarespace, which stores form submissions and analytics data on our behalf. Squarespace may process data outside the UK, and where it does, appropriate safeguards are in place as required by UK data protection law.

If your child joins the Group or is added to our waiting list, their details will be transferred to Online Scout Manager (OSM), the secure system we use to manage membership.

We will only share your information with anyone else where we are legally required to do so.

How long we keep your information

Waiting list details are kept until your child joins the Group, leaves the waiting list, or passes the age for the section, whichever comes first.

Your rights

Under UK data protection law, you have the right to ask for a copy of the information we hold about you, to ask us to correct anything that is wrong, to ask us to delete your information, to object to or restrict how we use it, and to withdraw your consent at any time where we rely on consent.
